6.4: Monitoring my work (journal entries)

06/09/10 - During this lesson, we were briefed about the festival unit and were told about the marking criteria. We then had to look at pictures and write down what we think a festival is, what it's about and the different types of festivals that occur. After this, we had to go to the library and do some deeper research on festivals in order to produce a powerpoint presentation.

13/09/10 - Today we had a visitor called Susan O'Shea who is actually involved in the creation and development of festivals, one festival in particular which is 'Ladyfest'. She gave us an introduction into what festivals are all about and what the festival that she is hosting is about. We made mind-maps on what makes a good festival and discussed the positives and negatives issues and resolutions that come along with the creation of a festival.
She also told us a bit about her Guerilla Marketing techniques that she had previously done to promote her own festival and the sort of things that we can do to promote our festival.
For her festival she did a very original type of Guerilla Marketing that made headlines! Her and her friend made lots of cupcakes and placed them around London with a little message on them about the festival including information like when it was taking place and where it was. This appeared to be very effective as a lot of people attended the event and her creativity was in the press.
Once we had been told about her techniques, we had to start thinking of our own ways that we could promote the festival using Guerilla Marketing. We came up with a couple of ideas and started to think about how they could be applied so we went into the playground and began proceeding with our ideas.
I think this lesson was extremely helpful because it got us all thinking creatively and come up with orginal ideas for promotion.

15/09/10 - Today we identified what our festival was going to be about and discussed the ideas everyone had to put forward. We decided that the theme of the festival would be 'happiness', taking after the annual happiness day. We started to think of names for the festival and created our own logo designs for it.

20/09/10 - In today's lesson, we continued to plan for the festival and worked on what we wanted to inlcude, who will be involved and the equipment that we needed. We had to consider potential health and safety risks, ask various experts for advice on what could be improved in the festival and what we will need to consider when planning a festival.

27/09/10 - Today we discussed the name of the festival and had disagreements on what we thought the overall name of the festival should be. Finally we decided that the name is going to be 'Central Fest'.

29/09/10
-Today we were visited by a professional photographer, Ollie Harp
who had come to teach us a bit about photography, taking unique pictures and the roles and equipment needed. He showed us some of his previous work and we had to say what we thought was good and bad about it and why and what made it unique. We split the class up into 3 groups and went around the school and practiced taking professional standard photos and used professional photography equipment. We rotated in roles, being a stylist, reflector, photographer and the model. This was a very interesting lesson and was beneficial as we will be able to use these skills in our festival.

11/10/10 - In today's lesson we went over to the 'CTC site' to see the venue of the event and went over issues such as toilets and entrance facilities for those who are less able.

18/10/10 - In today's lesson we had to get into our groups (performing, arts etc) and do a detailed plan of the event and how we will promote the performing side of the event and the auditions. This was done during the first half an hour of the lesson and we weight up each others idea's to come to final decisions. Once we had made our final decisions, we created a brief outline for our Call for submissions for the auditions to perform at our festival. By creating this, we can now go onto producing a poster and promoting the event.
Today's lesson has been essential and an important part of the process of producing a festival.

01/11/10 - In this lesson, we drew up a checklist on what we needed to do and started to set final dates on our calendars in which these things needed to be completed by. This is so that we had guidelines and didn't fall behind. We began to focus on poster designing, application forms for volunteers and the days that we had to attend assemblies to promote the festival. We also discussed the running order of the festival.

02/11/10 -In todays lesson, we began progressing with the production of the festival by debating on what our identity will be during the festival so that we stand out to the members of the public so they can come to us for help. We decided that we should print our names and job roles on our t-shirt and also have a badge as these are things that we can make ourselves and should be effective.

03/11/10 - Today at lunch we had a meeting with Ben Cole, our school's Events Coordinator and head management for Central Fest about making an application for the volunteers. We also talked about where all of the workshops will be situated within the CTC hall. We discussed certain things we wanted to include such as a popcorn machine for the people watching the movie in the cinema room.

04/11/10 - Today Alberta and I went into assemblies and performed a role play to promote Central Fest including information such as the purpose of the festival, the date, time, target audience etc. I found that using this format of promotion proved to be very successful as it got out point across in a unique way and kept the audience interested.

08/11/10 - In today's lesson we began to create our promotional material for the festival
so that the general public will be able to identify who is there to help them during the festival.
We made individual badges to stick onto our clothes in case people need any help or advice.

12/11/10 - Today we went to the Lady Fest Girl Fawkes festival at the South Bank Centre as a class to get a taster of what a festival is like and this festival in particular as we worked closely with some of the people from here.

15/11/10 - It is getting really close to the festival now so in today's lesson, we went back into our production groups (performers, arts etc) and finalised any last details and arrangements that needed to be made. In my group, performance, we needed to make decisions and sort out details for the performance that were essential in order for it to go ahead. We started by creating a list of the performers and what they will be performing so that we could give that to Mr. Mackintosh, who is managing the technical side of things such as the music, microphones etc and he could make a start on preparing the equipment. We also started to discuss the time slots for each performer and which ones suited us and them better.
We didn't get to complete this stage but we will arrange to meet in our own time to finalise this.

19/11/10 - I had to get in contact with all of the performers to make sure that they knew what time they had to be in by the next morning and to make sure that they brought in all necessary equipment and instruments. I had to stress how important it was that they arrived on time so that we could give them a brief and so I could go over the running order of the performances.

20/11/10 - Today was the day of our event and I think it went very well. In the morning we provided all of the volunteers with a "Central +" t-shirt and briefed them on how we wanted the day to go, assigning them roles and to a workshop that they will needed at. In order to make it fair, we made up a rotation sheet where they could work at a different stall, so whoever was outside in the first half would come inside for the second half.

22/11/10 - As we already conducted the festival, today's lesson we focused on completing the evaluation of the festival, focusing on the things that went well, can be improved and how it went in general.

29/11/10 - We continued to update our blogs further.

06/12/10
- Today I collected some of the evaluation responses from the visitors that attended.

10/01/11 - I continued updating my blog, completed and uploaded worksheets and finishing journal entries.

6.4: Evaluation Analysis

Central Fest Evaluation.
View more documents from renee.

These results tell me that people came to the event to enjoy themselves and to just have fun. They were interested in coming inside a tasking a look on what is going on also what the school has to offer. I learnt that loads of people were interested in the performances on stage and face painting, balloon maker and the nail bar.
A large majority of people where very interested in taking part in after school hour sports activity and that they would like to take part in martial arts and badminton. This part on the evaluation was done on behalf of the sports department in our school to publicise and see what the local community are interested in.

Can they help you to develop your review of the festival?
Yes because now I have a clear understanding on what the visitors though about the event and what was popular what the likes and why they came to the event.

6.4: Contribution to the festival.

On the actual day of the festival, i found myself doing a lot of multi-tasking so everyones needs were met. In the beginning of the day, I briefed all of the volunteers about what we expected and assigned them to their roles for the day. I then had to go into my role as apart of the performance team and brief the performers about the running order of the performances and when they will all be needed. To be sure things ran smoothly, I did a quick run through so that we could be sure all of the lighting and sound equipment worked properly. I then went around the whole building, ensuring there wasn't any safety hazards and if there was then resolving them.
Once the festival actually began, I had to continuously go around to each workshop/stall and make sure that everything was fine and that the volunteers were confident in what they were meant to do. If they wasn't then I gave them a one-to-one explanation on the types of things that they should be doing.
During the festival, we found out that one of the groups had dropped out that was meant to be holding a workshop so I had to find someone/something to replace it with. I set up one of the rooms to act as a dance studio and asked Helen Jones if she would like to teach salsa in there. Once she agreed, I had to get her into the room and check for any health hazards. I then needed to create a notice board so people knew it was going on and I needed to include it onto the list of activities and map.
It was now time for the performances to start so I introduced each performance and lured the crowd in to come and watch. I had to supervise this whole part of the festival in order to ensure that all safety regulations were met and in place. During the interval, I went around again to check on all of the workshops and interacted with some of the people to advise them on which workshops were a must see. I then went back to the performances and presented and supervised them all.
Once all of the performances were over, I went to any workshops that needed my help and helped them in whatever was needed. The festival was coming to an end now and it was time for us to clean up so I helped to clean up the whole of the building and to make sure that everyone had left the premises.
Overall, it was a fun experience and I think that I contributed a lot to the festival.

6.4: Weeks before the festival.

During the build up to the festival, I did a lot of planning and preparing to ensure that I was prepared for it.
I had to undertake regular checks on the artists to be sure that they would all be able to perform. I also had to do some leafleting to primary schools where there was both parents and children, to ensure the maximum amount of people would attend. Also, I had to go over the people who were attending to hold their own workshops, with Ben Cole. These are just a few of the tasks that I did and a lot of preparation went into it so that I felt prepared for it.

PERORMANCES.

In this photo, I am briefing a couple of the performers before they are about to perform explaining the line-up and when they are due on stage. Its important that this is done in order for the festival to run smoothly and with little chaos.

In this photo the band are practicing before performing.
This is because we wanted them to be and feel prepared for the show. This is a photo of two of our performers (Huda and Saudatu) performing.

This is some of the audience that were in the festival and
they came to watch the performances.

In this photo, some of the performers are rehearsing.

In this photo, Adama, Alberta and Hibaq are performing.

Their are various photos of the performers rehearsing and actually performing from the festival. They all took part in a variety of performances that was apart of the entertainment in the festival and made a big contribution to it.

6.3: How Festivals Have Been Promoted.

Sydney Festival

Which aspects of the Festival's campaign do you think will be most effective in telling people about:
- the artist and groups taking part in the Festival
- when and where different events are taking place
- who is sponsoring the Festival
- how much tickets cost

The Sydney Festival use a variety of unique campaigning techniques in order to promote the festival. They have a website that is packed full of information, brochures, outdoor advertising including bus shelters, billboards and the sides of buses, postcards and posters which are supplied to to the local cafés and print, radio and TV advertisements.
The best technique to advertise the artists and groups taking place in the Festival would be through the brochures that are sent out to people as they can receive a detailed account of the artists and find out when they are performing.
In order to broadcast who is sponsoring the festival and when and where the festival is taking place, they should use their outdoor advertisement and include this on the sides of buses, billboards and bus stops so that everyone can see whats going on and where they can go to find out more and the sponsors of the festival can have their own set of advertising through this. However they could also use TV to do this too because a wide population of people watch TV.
If you want to find out the price of tickets for something, you would usually find this out in posters, leaflets or even brochures so this would be the place to advertise it.

Natural Disaster

A local council decided to hold a film festival that would showcase the work of local filmmakers. Its theme was 'Celebrating the Natural World' and local filmmakers were invited to submit their work. However, the council's publicity department only sent out information to local primary schools and the central library. The number of entries for the festival was low as many filmmakers never saw the publicity material.
- where should the publicity have been sent?
- what else could the council have done to target their audience and promote the film festival.

The publicity could have still been sent to the central library as a filmmaker may have come across it on their trip to their library however they should have expanded their promotional techniques and used a little bit more creativity. They could have distributed flyers and posters to places like local cinema's, universities, secondary schools, cafés, walk-in centres
etc. Then they would have found people who actually share an interest in films and the outcome could have been better.
The council could have also used techniques such as billboards, brochures, leaflets, posters, bus shelters and so many others as people see these sort of things in their everyday life and it would have been eye-catching.

6.3: Auditions.

On the 12th October, we held an audition in order to find performers for the festival. In order to create awareness of the auditions that took place, we made a poster that was put around the school, went into year group assemblies to inform them and used social networking sites to welcome performers from outside of school. We held an audition at lunchtime and after school. At the beginning of the audition there wasn't anyone that attended the audition but after a period of waiting, a small queue began to form and we had various groups of people wanting to audition. The after school auditions appeared to be a lot more effective then the lunch ones as we had more people attending and even had a couple of people from outside of school.

This is a contract for the performers that are due to perform in the festival that ensures that they all come in on time and comply with all the rules and regulations. It is important that the performers sign this contract so we know that we can rely on them and so that they know what is expected of them.

6.1: Girl Fawkes Event.

On Friday 5th November, our Creative and Media class went to South Bank to help out with the Girl Fawkes festival. When we got there, we were given a brief outline of the line of events and what we will be expected to do throughout the evening. This visit was to familiarise us with a festival atmosphere and understand what it is like and the processes of it.
The first event that took place in the festival was fire dancers. This was just outside of the building where the main event was due to take place. This event was like the rope to entice people into coming to the actual event. It acted as a taster to attract guests to the main event. During the fire event, our media class gave out leaflets to the people watching which contained information on the festival on a whole and what they will find within it. After the fire event, we went to the main event and made sure that all the guests were seated and then offered out little sweets to go with the upcoming performance. There then was a range of performances from singing to storytelling which related to all different people in the audience.
We couldn't stay until the end as we needed to get back to school however I felt like I learnt a lot from it and it gave me an idea of what to expect from our own festival. Also, it taught me that having something to grab your audiences attention proves to be effective and is something that we should consider for our own festival. Overall, I enjoyed the festival as it was unique and entertaining.

6.1: My Own Guerilla Marketing Ideas.

To promote the auditions, we are going to do an assembly to each year group. Instead of doing a boring presentation in which will not be very intriguing, we've decided to do the assembly in our own way. We are going to do a mini role play to catch their attention so that they remember. This is the plot:
- When the Head Of Year (HOY) says, are there any more messages, we will be behind the curtains.
- Then Alberta and I greet eachother and start talking loud about some auditions that are going on.
- As we are talking, everyone in the assembly will be wondering what is going on.
- Then the HOY will pull the curtain and we both freeze
- We act nervous and slightly scared and then tell the people in the assembly about the auditions.

6.1: Guerilla Marketing: (Visitor Nikki)

Guerilla marketing is spontaneous advertising in which you think creatively of a way to promote something.
- Free Advertising
- Meant to catch people by surprise
- Shock tactics

Hand out leaflets to members of the public to get people to come

Nikki's own Guerilla Advertising
  • She did her own Guerilla marketing; with cupcakes
  • Went around putting cupcakes in odd places with messages on each of them about a festival.
  • Creative idea
  • Got into the national newspaper and on websites.
Guerilla marketing:
- Need to have time & be patient
- Do not really need a lot of money

6.1: Comparisons between festivals.

Love Music, Hate Racism. This is a music-oriented campaign based in Britain by the Anti-Nazi league and Unite against Fascism. LMHR was set up in 2002 in response to the percieved increase in support fort the far right British National Party. The organisation believes that modern music is influenced by many cultures and traditions, and that it can be used to bring different kinds of people together. The concerts include several music genre's.

The V Festival is also a music festival which also contains a variety of genres of music.

The V festival is simply about the love of music whereas the LMHR festival is more about how music can bring cohesion. They both are very sensationalised and well-known festivals which has proven to be successful over the years.
The LMHR festival is more about campaigning for equality and achieving a goal whereas the V festival is more about the music and the people.
They both are great festivals and have individual qualities which have made them so successful.
